Whether you know it or not, all students already have at least two email boxes.
The university provides all students with an ONID (Oregon
State Network ID) account that includes an email box. Your university-supplied ONID mailbox's name begins with your ONID Username
and ends with @onid.orst.edu. Thus, if your ONID Username is Smithjoe, then
your ONID mailbox is Smithjoe@onid.orst.edu.
The College of Business has provided each student and alumni with an email
box. Your box's name begins with your College of Business Username and ends with @bus.oregonstate.edu.
Thus, if you log onto the College of Business network as smij123, then
your business mail box would be
smij123@bus.oregonstate.edu.
All student and alumni email boxes will stop working as of June 20, 2008.

basic information about ONID accounts as well as links to more technical
information about ONID mail servers.
Migrating basics
1. Tell people your new address
The first and most important step in migrating from one email system to another
is to tell people what email address to use to reach you. If you have been using
your College of Business email box, you need to tell people where to send messages in the future.
Most students who currently use their College of Business email box will likely
switch to using their ONID box. If you fall into this category, then we recommend
sending announcements to friends and family explaining that you will be using
your ONID box in the future. Thus, if your ONID Username is Smithjoe, then you
would ask people to reach you at Smithjoe@onid.orst.edu.
2 Set up an Out of Office Assistant for your College of
Business email box
Since you will no longer be using your College of Business email box, you should
deactivate it by setting up an Out of Office Assistant. That way, people who
send email messages to your old box will get an instant reply explaining how to
reach your new box.
If you use Outlook to read your College of Business email, then give a Tools --
Out of Office Assistant command and fill out the resulting dialog box in the
following manner:
If you use WebMail to read your College of Business email, then click on
Options on the bottom of the left-hand pane, and fill out the resulting dialog
box as follows:
3. Retrieve messages from ONID
Once you have selected an email system to use, then you need to choose an email
client program to send and retrieve messages from your mailbox. The easiest
client program to use is
ONID Webmail.
This approach works reliably from anywhere -- on campus, at home, at an Internet
coffee shop in Berlin ... wherever.
Note: Because the university's ONID mail system is based on open
source software, it works well with a wide variety of email clients. Before you can begin using
most email clients, you must configure the client; that is, teach it how
to reach your email system and mailbox. To
learn more about how to configure other email clients to work with your ONID
mail box, you should read this

If you decide to use ONID Webmail, we recommend exploring how to configure it
to work well. Begin by clicking Options to arrive at this screen image:
By default, ONID Webmail will send and retrieve messages in Plain Text mode;
that is, messages will lack nice fonts or images. To fix this, explore the
Message Composition area and put a check box next to "explore the Message Viewing
area and remove the check box from "
4. Move messages from your College of Business box to another
mailbox.
If you have messages in your College of Business mailbox that you want to keep,
you have several approaches to use. The most obvious and crude method would be
to print them on paper. A bit more sophisticated would be to forward messages
one-at-a-time from your Business email box to another box, such as your ONID box. We will assume you
do not need detailed instructions for anything that simple.
If you want to move lots of messages, you will want a more powerful approach.
The rest of this section describes ways to move entire
folders filled with messages at once. The basic approach will involve
configuring Outlook so you can see both email boxes inside Outlook at the same
time. Then you will be able to copy folders from one box to the other.
4a. Moving messages to your ONID mailbox
These instructions assume you are in the College of Business basement
computer lab and want to move messages to your ONID mailbox. If these
assumptions do not apply, try reading the instructions in section 4b below.
Begin by logging onto one of the computers
with your Business account.
Open Outlook 2007, then open the Tools menu and choose Account Settings
On the E-mail tab, click New...
Choose Microsoft Exchange, POP3, IMAP, or HTTP and click Next
Choose Manually configure server settings... and click Next
Choose Internet E-mail and click Next
Enter Your Name -- this is what other people will see when they receive
messages from you
Enter your E-mail Address in the form username@onid.orst.edu (where
username is your ONID username)
Choose IMAP as the Account Type
The Incoming mail server (IMAP) name is imap.onid.oregonstate.edu
The Outgoing mail server (SMTP) name is mail.oregonstate.edu
For User Name, enter your ONID username
Uncheck the Remember password box
Click the More Settings... button
Choose the Advanced tab, and select SSL from the Incoming server (IMAP)
drop-down list
Click OK Click Next, then Finish. Your ONID Email account is now setup
in Outlook.
Select your BUS inbox, right click on it and select 'Copy'. This will
copy your inbox and all the folders it contains.
Outlook will ask you where you want to copy the items to. Select your
ONID Inbox and press OK.
Repeat this process for any folders outside of your inbox that you would
like copied.
4b. Moving messages to another mailbox from off-campus
These instructions assume you are off campus and want to move messages
from your College of Business mailbox to another mailbox. Beware: the
instructions are rather technical and may not make sense to the ordinary
person. If you want help with this process, you may want to contact the
folks at the College of Business Help Desk at 541-737-0947.
Your College of Business
email box has the following settings:
Incoming mail server (IMAP):
exmail.oregonstate.edu (requires SSL secure connection on port 993)
Outgoing mail server
(SMTP): exmail.oregonstate.edu (requires SSL secure connection on port
25)
Username: BUS\username
(replace username with your BUS username)
Password: (your BUS
account password)
ONID email boxes have the
following settings:
Incoming mail server (IMAP):
imap.onid.oregonstate.edu (requires SSL secure connection)
Outgoing mail server
(SMTP): Contact your Internet service provider for the name of their
outgoing mail server
Username: (your ONID
username – no need to put ONID\ in front of it)
Alumni:
please use the email settings for your third-party email provider. NOTE: not
all email providers provide IMAP or POP services. You may need to set up an
account with an email provider that does provide these services, such as
Gmail.
These instructions assume you want to begin
by configuring Outlook 2002/2003 for Windows to work with your College of
Business email box. If you would like to use a different email client,
general instructions for other email clients are available at
http://onid.oregonstate.edu/docs/email/.
Open Outlook 2002/2003
Open the Tools menu and choose E-mail
Accounts...
Click Add then click Mail...
Choose Add a new e-mail account and click
Next.
Choose IMAP as the Server Type and click
Next.
Enter Your Name which is the name you want
other people to see when they receive your email.
Enter your E-mail Address. This should be
in the form username@bus.oregonstate.edu (where username is your
BUS username).
The Incoming mail server (IMAP) name is
exmail.oregonstate.edu
The Outgoing mail server (SMTP) name is
exmail.oregonstate.edu.
Fill in your User Name - your BUS
username goes here. Make sure you have the ‘BUS\’ prefix in front
of your username.
Uncheck the Remember password box.
Click the More Settings... button.
Choose the Advanced tab.
Under Incoming server (IMAP), select the
This server requires a secure connection (SSL) checkbox and click
OK.
Click Next.
Click Finish.
Repeat each step for your ONID account or other 3rd
party email provider using the settings specified above. For Step 10,
you do not need to have ‘ONID\’ in front of your username.
Once both email accounts are configured, select
all the emails in your BUS account that you would like to save (with one
email selected, press Ctrl-A to select all) and drag them to the Inbox
in your other email account.
